Managing Dozens of Client Domains Without Losing One

In three lines
- One domain is a task.
- Holding client domains in the agency account looks like retention and behaves like a liability.
- Write the standard record set once — website, www, mail, SPF, DKIM, DMARC, and any verification records — and apply it to every new name.
One domain is a task. Forty domains across a dozen clients is an operation — and operations fail quietly. The failure is never dramatic: a renewal notice to an old inbox, a name in the wrong account, a missing DMARC record. Here is the system we use, and hand to agencies who ask.
Rule one: the client is always the registrant
Holding client domains in the agency account looks like retention and behaves like a liability. The day a client leaves, you either hand the name over gracefully or you spend weeks in a dispute that costs you referrals. Register under the client, manage with delegated access.
Rule two: one DNS template, applied every time
Write the standard record set once — website, www, mail, SPF, DKIM, DMARC, and any verification records — and apply it to every new name. Manual configuration per project is where the silent mistakes live.
- DMARC starts in monitor mode, then moves to quarantine and reject
- Document every non-standard record and why it exists
- Re-test mail delivery after every DNS change
Rule three: one calendar, reviewed monthly
A single sheet with every domain, its owner, its expiry date and its payment method. Review it on the first working day of each month. Auto-renew is the seat belt; the calendar is knowing where you are driving.
Rule four: hand over in writing
Every project ends with a one-page record given to the client: registrar, account, owner, expiry, DNS records and support contact. It protects the client and, just as importantly, it protects you the day someone else touches the configuration.
Or hand the whole thing to us
We register .com names in bulk for Saudi agencies and IT teams: one list, one invoice, each name under the end client, the DNS template applied, and a shared renewal calendar — with Arabic support for you and, when you want it, for your clients directly.
The practical takeaway
Client owns the name, one DNS template, one renewal calendar, one written handover. Four rules turn a pile of domains into an asset you can manage at any scale.
